What is a Process Map?
A Process Map is a helpful planning tool that puts the flow of information and materials into a simple visual format. For this reason, Process Maps can be used to help you better understand and analyze your team’s processes and the outcomes they produce. A Process Map is broken down into different stages, so you can easily divide up the process you’re looking at. It will also enable you to record and keep sight of your objectives, activities and deliverables at each stage of the process.
Why should you use a Process Map?
Process Maps are a great way to help to improve team communication and boost organization. It does this by ensuring that everyone in your team has a shared understanding of the different processes across the business. As a Process Map breaks a process down into various stages, this makes it easier to identify areas for improvement. This gives you a deeper understanding of your processes in order to make them more efficient.
How to use this Process Map template
Ayoa’s Process Map template is broken down into five key stages for you to easily record your objectives, activities and deliverables for any project or workflow. Simply follow the steps below to get started with this template.
To access the template, sign up to Ayoa. Once you've signed up, navigate to the homepage to create a new whiteboard, mind map or task board and choose this template from the library.
Begin by defining the objective you want to achieve. Before adding these details to the Process Map, consider the bigger picture and visualize the process you’re going to take in order to reach your goals.
Once you have an idea of what your process will look like and what you want to achieve, you can start by breaking these down into stages. For each stage, consider:
Objectives – What are you hoping to achieve?
Activities – What are you going to do to reach your objectives? As an example, this could be undertaking customer research.
Deliverables – How will your activities be delivered? For example, if you’re looking to conduct customer research, your deliverable could be surveys.
As you answer each stage in the process, easily add your ideas to the relevant section of the template using sticky notes.
Continue this process for however many stages are necessary for you. Feel free to add or remove stages to the template as needed!
Once completed, review your Process Map. Does it solve your problem? Does each stage contain clear and actionable steps for you to move forward? At this stage, it can be useful to invite key stakeholders to the map so they can provide their feedback. This will enable you to ensure that your process flows logically through each stage and that nothing important has been missed.
